Terms and Conditions

By visiting NicksPay, submitting a payment on any tenant organization portal (e.g. your-org.nickspay.com.ng), or utilizing executive verification tools, you agree to be bound by these Terms and Conditions and our Privacy Policy.

If you do not agree to these terms, you must not access the platform or complete transactions through NicksPay.

NicksPay is a SaaS software interface developed by Nick Frost Innovations that enables student organizations, faculties, departmental bodies, and clubs in Nigerian tertiary institutions to collect dues, event fees, and sales online.

NicksPay is strictly a technology software provider. NicksPay is NOT a bank, microfinance institution, or deposit-taking financial institution.

Funds collected via NicksPay are processed through licensed third-party payment gateways and settled directly to the designated official bank account of the organization. NicksPay does not hold, retain, or pool student payments.

Accurate Details: Students must provide accurate, truthful, and complete details when paying, including student name, matriculation/registration number, email address, and payment category.

Receipt Fraud Prohibited: NicksPay receipts include unique reference codes and QR verification codes. Presenting forged, altered, manipulated, or shared receipts to obtain exam hall clearance or registration status constitutes fraudulent conduct.

Transaction Review: Students must confirm the payment category, academic session, and amount before initiating payments.

Authorized Account Management: Executive officers registering or administering an organization portal warrant that they are authorized representatives of the student organization or faculty body.

Settlement Bank Account Integrity: Organizations are solely responsible for providing correct official bank account details for settlement. NicksPay is not responsible for settlement delays or misrouted transfers caused by incorrect bank details provided by an organization.

Bring Your Own Account (BYOA) Keys: Organizations using BYOA mode must maintain active gateway API keys. NicksPay is not liable for transaction failures caused by expired or invalid merchant gateway keys.

Platform Fees: Platform charges and gateway processing fees are applied according to the selected pricing plan (Plans A, B, C, or D). Fees can be paid by the student or absorbed by the organization as configured on the portal.

Non-Refundable Platform Fees: NicksPay software service fees are non-refundable once a transaction has been successfully processed and verified by the payment gateway.

Organization Refunds: Because settled funds flow directly into the organization's official bank account, any request for refund of paid dues or fees must be submitted directly to the student organization executive body (e.g. Treasurer / President).

Availability: NicksPay aims to maintain high uptime and service availability, but is provided on an 'as-is' and 'as-available' basis. We are not liable for temporary service interruptions caused by third-party payment gateway downtime, banking network failures, or internet service disruptions.

Limitation of Liability: To the maximum extent permitted by applicable law, NicksPay and Nick Frost Innovations shall not be liable for indirect, incidental, or consequential damages. Our total liability for any transaction issue is capped at the platform fee collected on the specific transaction in dispute.

All trademarks, logos, system interfaces, QR verification software algorithms, and marketing content associated with NicksPay are the property of Nick Frost Innovations.

Organization logos, institution names, and student record datasets remain the property of their respective student organizations and institutions.

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Federal Republic of Nigeria.

Any disputes arising under these terms shall first be addressed through good-faith negotiation between the parties before initiating arbitration or legal proceedings.
